Volunteer registration

Hello!

We sincerely thank you for taking the time and opportunity to support our event with your presence and assistance!

Currently, there is an oncoHUB conference taking place among the oncology community, which plans to gather over 1,500 registered offline participants.

We understand that such a large number of participants should feel comfortable, so we're addressing you with the following requests:

  1. Language of communication - Ukrainian
  2. Greeting participants - always greet participants when meeting them (it doesn't matter if you're not acquainted with them). For example, "Good morning/afternoon/evening, welcome to the conference," you can also add wishes like "we hope you have a pleasant/productive/useful/interesting time." Smile, as we aim to create a sense of calm, safety, and satisfaction in every corner of the event - our doctors deserve it!
  3. Conference materials - display or help participants reach the registration desk. Note that there is a printed version of the program where it's convenient to make notes and see all sections and the halls where they take place. Please guide participants on where to get this program.
  4. Navigation - in the first hours and even later (as participants will arrive at different times), it's absolutely normal that people might have trouble navigating the space and halls, so always assist with navigation (we understand there will be many questions, so please remain calm and patient, don't allow yourself to communicate with participants in an impatient or rude tone).
  5. Speaker assistance - speakers, like participants, might get lost in the venue, so always help them reach the hall on time, as this affects the timing of their presentation (their badge will be marked "Speaker").
  6. Lunch/coffee breaks - don't consume food in the poster presentation hall, as this area is planned to be a relaxation space during free time from poster sessions. It's important to us that there are no unpleasant smells for those who might be working in this hall.
  7. Safety measures - monitor compliance with safety measures during the conference, specifically - during air alarms, some guests will go to the parking area; ensure there are no gatherings, crowds, or panic in case of explosions. Also pay attention to possible escalator injuries, take initiative (considering your own safety first) to help someone get up or reach a less crowded area to provide first aid). Note that there will be medical staff on duty during the event.
  8. Maintaining cleanliness - monitor the cleanliness of premises and report any issues if necessary.
  9. Answering questions - provide answers to participants' questions about the schedule (it will be provided to each of you for review before the event starts).
  10. Extended assistance - provide help to people with disabilities if needed (we draw your attention to the possible presence of military personnel).
  11. Microphones - if you're on duty in the hall after presentations or at the end of a session when panel discussions occur. Everything is recorded online, and if a participant asks a question without a microphone, it won't be audible in the recording. Therefore, always insist on passing the microphone and invite them to repeat their question into the microphone from the beginning if they started without it.
  12. Processing requests - inform organizers about any participant requests or problems. Modern communication - stay in contact with other volunteers for coordination in the created chat with oncoHUB team representatives. Constant communication - be available throughout the entire event and notify if you need a break.
